Seeking an experienced, innovative and dynamic Practice Manager to join our team in striving to deliver world-class, patient centred healthcare services.

THE ROLE

  • Full-time, permanent position available as Practice Manager of our Neurology Clinic
  • Manage a busy clinic whilst working as part of a team of Practice Managers enabling collaboration, multi-disciplinary experience and career diversification

The Role

The role will involve working in a dynamic environment where managing the day-to-day operations of the Neurology outpatient clinic is also integrated with facilitating an environment that incorporates clinical research and teaching.

You will manage the practice to ensure the patient’s experience of care is of a high quality, consistent and professional. You will work closely with the Clinic Director in providing professional management and supervision of the day to day operations of the practice.

You will have opportunities to network and work collaboratively with a wide range of staff in support of the patients’ healthcare journey from community to acute inpatient care within a single organisation. Working with these staff you will have the opportunity to develop processes and initiatives for the Neurology practice and across all MQ Health Clinics, as relevant.

You will have strong people and process management skills and experience in an outpatient clinical practice setting and will possess the ability to develop a collegial team culture with a firm commitment to excellent customer service and patient-centred care. You will be an exceptional communicator to ensure stakeholder and clinician engagement and to achieve optimal operational performance of the clinic/s.

Key Accountabilities include ( not limited to ):

  • Manage day to day needs and team dynamics of reception, administration and other health staff including ensuring adequate staff coverage for all clinic sessions.
  • Supervise and manage clinic administrative and reception staff to develop a high-performing patient centred team.
  • Manage daily business and administrative operations of the practice to ensure they are efficient, patient-focused and consistent.
  • Organise clinical schedule in EMR system to ensure smooth and consistent patient bookings.
  • Roster and provide coverage for administrative staff as needed.
  • Manage practice inventory and coordinate inventory ordering.
  • Oversee set-up and maintenance of consultation, reception and treatment rooms.
  • Prepare initial reports regarding the performance of the practice on a regular basis and when required.
  • Work with IT to facilitate the implementation of new software, hardware or changes to the configuration of IT systems and ensure staff are trained and using systems appropriately.
  • Coordinate building maintenance requests including refurbishments, minor repairs and cleaning requests ensuring that patient areas, rooms and kitchen facilities are professionally presented at all times.
  • Maintain, update and distribute communication collateral including, newsletters, websites and mailing groups, ensuring currency and accuracy.
  • Maintain and manage Medicare and Health Fund updates and billings.
  • Manage and resolve any patient complaints and feedback, working with the Clinical Governance Team as needed to ensure consistently optimal service.
  • Assist with clinic projects and general administration of office duties as directed by the Senior Manager, MQ Health Clinics or clinicians.
  • Liaise with other practices, hospitals and allied health professionals to acquire comprehensive patient information and provide exceptional patient coordination.
  • Develop and maintain effective working relationships with Macquarie University Hospital inpatient staff as relevant, other MQ Health outpatient clinics and other practices located at 2 Technology Place.

  • Excellent organisational and time management skills.
  • Demonstrated experience using electronic practice management systems (such as TrakCare, Genie or Best Practice)
  • Experience supervising staff.
  • Understanding of Medicare and Private Health Insurance in Australia.
  • Proficient in Outlook, Word, Excel and PowerPoint.
  • Excellent customer service, interpersonal and conflict resolution skills.
  • Demonstrated experience in developing partnerships, eliciting cooperation and working effectively with a range of stakeholders.
  • Ability to work effectively as part of a team
  • Commitment to uphold and be a steward of the Mission, Vision and Values of MQ Health.
  • Registration with, or eligible for registration with, a professional organisation such as the Australian Association of Practice Management or similar and previous experience working in an outpatient medical practice.
