The Royal Australasian College of Physicians (RACP) is a diverse and energetic organisation that provides services to support the delivery of training, continuing professional development, and health policy and advocacy on behalf of more than 17,000 Fellows and 8000 trainees, across Australia and New Zealand.

The RACP offers 60 training pathways, which lead to the award of one of seven qualifications and allow for registration in 34 fields of specialty practice with the Medical Board of Australia, or nine vocational scopes of practice with the Medical Council of New Zealand.

The primary purpose of the Executive Officer role in our Faculty and Chapters Assessment team is to provide high level support for relevant assessments and examinations including data entry, data integrity, data maintenance, systems training, systme implementation and system performance.Working collaboratively in the construction, development, analysis, reporting and evaluation on all relevant assessments will also be a large part of this role.

The role works closely with other Executive Officers in Assessment and Selection and the broader Education, Learning and Assessment Directorate and has responsibilities in examination production, strategy policy, advice, evaluation, training and stakeholder management.

The role will include the following:

  • Contributing to the development and optimisation of the technical resources used to develop and administer assessments and examinations
  • Contributing to the development and implementation of quality assurance processes and protocols that strengthen the quality of summative examinations
  • Providing general clerical and administrative support to the Examinations team to support the development, analysis and reporting on summative examinations
  • Coordinating the preparation of examination papers to ensure a high-quality product that is free from errors and aligned with the relevant curricula
  • Contributing to the development and implementation of Written and Clinical/Practical exam strategies and plans to improve efficiency, security and increase stakeholder satisfaction
  • Supporting the development, implementation, reviewing and updating of detailed Situation Management Plans (SMPs) and other relevant documentation in line with the RACP-wide standard
  • Contributing to education policies that involve high stakes assessments
  • Providing mentorship to staff in the Assessment & Selection Group to ensure efficient and effective unit performance
  • Providing support (advisory and coordination) to the Examination committees involved in Examinations.
Desired Skills and Experience

The Successful candidate will have:

  • Experience with computer based examination tools used to develop and administer examinations.
  • Ability to train and provide end user support to on-line system users experience in an administrative support role in a busy, customer-focused work environment.
  • Experience in implementing quality assurance processes and protocols.
  • Excellent interpersonal skills and an ability to build partnerships and work collaboratively with others to meet shared objectives.
  • Effective planning and organisational skills with the ability to manage competing deadlines and high workloads without compromising quality and standards.
  • A commitment to professional and ethical client service.
  • High degree of accuracy and attention to detail, including proofreading skills.
  • Initiative and problem-solving skills.
  • High level written and oral communication skills, including the ability to deal with sensitive issues and enquiries, and to manage confidentiality.
  • Ability to work at both transactional and transformational level.
  • Higher education qualification or an equivalent combination of relevant training and/or experience in administration.
  • Advanced or intermediate skills in the use of databases and Microsoft Word and Excel.
