As a member of the Finance Administration team, the role of Executive Assistant will support the Finance Leadership Team and the wider business unit. The Executive Assistant will be responsible for providing all administrative support to three General Managers, namely General Manager Performance & Expense Management, General Manager Financial Control and General Manager Internal Audit.

This role will suit an experienced Executive Assistant, preferably with a Financial Services background, who is proactive, shows initiative and is able to effectively prioritise and multi-task.

What will you be responsible for?

  • Maintaining effective time management practices for the GM’s including diary management as well as scheduling and booking of meeting rooms

  • Managing phone calls and incoming emails/correspondence

  • Working closely with the direct reports of the GM’s

  • Ensuring the GM’s have relevant and appropriate documentation in advance of meetings and events

  • Reviewing and editing reports, presentations etc. as required

  • Developing content for communications either internally or externally

  • Ensuring requests/action items for the GM’s are proactively followed up and resolved in a timely manner

  • Planning and organising team meetings, events and communications

  • Arranging domestic and international travel plans and itineraries

  • Managing ad hoc requests and/or projects

  • Reporting and expense management

  • Pro-actively establishing and maintain strong working relationships with the Executive Team and Executive Assistants

What are we looking for?

  • Minimum 5-8 years’ experience operating at the Executive Assistant level, preferably within financial services

  • Excellent interpersonal, stakeholder management and communication skills, including the ability to communicate with the highest levels of tact and diplomacy

  • Proven ability to handle confidential information with discretion and to demonstrate the highest levels of professionalism at all times

  • Ability to effectively work across all levels of the organisation and to work closely and effectively with Executive Assistants

  • Excellent writing skills

  • Demonstrates a high degree of initiative

  • Strong organisational skills demonstrated by the ability to work autonomously, effectively prioritise and perform multiple tasks seamlessly, and with excellent attention to detail

  • Advanced level of skill using Microsoft Office (Word, PowerPoint, Excel and Outlook)
