We currently have an opportunity for an Office Administrator to join our team. The role is Adelaide based and provides a fantastic opportunity to be part of a World leading In-Situ Recovery (ISR) mining company.
This is a unique opportunity for a self-motivated professional to provide a high standard of office administration, executive support, and facilities management. In order to succeed in this position, you must possess a thirst for knowledge and be able to juggle competing priorities. You will be driven to question, understand, continually learn and effectively communicate.
We are looking for a professional administrator who has exceptional written and verbal communication, and has great attention to detail. They will be effective at prioritising and problem solving. Being able to organise all aspects of administration, manage confidentiality and operate professionally at all times will be vital.
Reporting to the Chief Financial Officer, the successful candidate will work closely with Heathgate’s President, our Senior Management Team (SMT), all groups in the Adelaide office, the team at our mine site, representatives from our parent company General Atomics, Indigenous Traditional Owners and claimants, and other external stakeholders.

Key Responsibilities:
  • Liaise with, and provide office support activities for all members of the Seniors Management Team including work schedules and managing calendar appointments;
  • Manage all arrangements relating to rental accommodation for Heathgate executives;
  • Plan and arrange travel itineraries and assist with reconciliation of travel expenditure claims;
  • Collate timesheets for the Senior Management Team to approve;
  • Plan and coordinate business appointments and events, including venues, facilities, and catering;
  • Set up meeting rooms to ensure meetings run on-time;
  • Provide administrative support including minute taking, drafting letters and filing;
  • Prepare, publish, and circulate reports, presentations, and other documentation;
  • Maintain an effective records management system, establishing and maintaining naming conventions and assuring compliance with Privacy Act and other requirements around confidentiality;
  • Coordinate and monitor office operations including overseeing of office support staff to ensure effective running of all daily office operations.
Essential Qualifications
  • Current Class 1 Car Driver’s Licence.
Desirable Qualifications
  • Qualifications in business administration.
Essential Knowledge and Experience
  • Advanced computer skills in PowerPoint, Word, Outlook, and Publisher;
  • Intermediate skills and confidence in Excel, including graphs;
  • Well-developed business writing skills;
  • Experience in creating presentation documents, collating data, and producing graphics;
  • Ability to proofread to a high standard and refine documents so documents are consistently formatted, presented, and tailored to specific audiences;
  • Significant experience in diary management and providing executive assistance for multiple executive stakeholders;
  • Experience in managing executive travel arrangement;
  • Able to manage competing priorities and maintain good attention to detail;
  • Manage telecommunications and videoconferences and organise the utilisation of associated technology;
  • Be a confident and friendly communicator and able to maintain effective working relationships at all levels of the business;
  • Able to work under own initiative and manage own time effectively;
  • High standards of professionalism and integrity;
  • Able to operate with discretion and always maintain confidentiality;
  • Significant experience in recommending, implementing, and maintaining modern and efficient office systems.
Desirable Knowledge and Experience
  • Familiarity of the mining industry, or in an organisation working across multiple sites.
