A rewarding, newly created permanent, full time opportunity exists within Aveo for an experienced Executive Assistant to join our Sydney office to provide day-to-day support to our Sydney based Executive team.

In this senior position you will be pivotal in helping to ensure a seamless flow of information while providing strong administrative support. You will have well rounded communication skills and be able to work within a fast-paced environment, meeting tight deadlines and prioritising workloads.

Some of your responsibilities will include:

  • Executive email management and coordination;
  • Maintaining calendars including scheduling meetings and appointments;
  • Submission of prepared travel expense reports;
  • Making reservations (e.g. travel);
  • Following established reporting schedules to send reminders to Sydney based Executive team;
  • Prepare and distribute reports in accordance with agreed timetables e.g. Board reports etc.
  • Receive and screen incoming calls and triage their importance;
  • Document execution under PoA;
  • Draft and prepare routine correspondence and standard presentations on behalf of Sydney based Executive team; and
  • Regular contact with Community teams, residents and customers.

About you:

  • Advanced administrative/secretarial skills;
  • Highly developed written and verbal communication skills ;
  • Excellent interpersonal skills and an ability to build relationships with key stakeholders (e.g. external contacts, employees and management at all levels, including the Executive team);
  • Demonstrated experience in a similar role, supporting multiple senior executives, preferably within the financial services/property field;
  • Senior office administration experience;
  • An ability to adapt quickly to change and be flexible;
  • Strong work co-ordination and organisational skills;
  • Demonstrate the utmost integrity, both with clients and with colleagues;
  • Ability to work well under pressure with several tasks simultaneously; and
  • High professional maturity and strong work ethic.
