We have an exciting opportunity for an experienced and motivated individual with a strong background in medical administration and management to join our team as Clerical Supervisor of the Geelong Region on a full time basis.
Key Responsibilities ABOUT THE ROLE

Reporting to the Administration Services Manager, you will be responsible for overseeing the day to day running of the reception function across our sites in the Geelong region including Geelong, Belmont, and Ocean Grove. You will ensure the delivery of quality, proactive, customer focused standards of care to our patients and ensure smooth and efficient functioning of the reception teams across both sites.


With support from the Deputy Clerical Supervisor, the Clerical Supervisor will be responsible for the following tasks:

  • Manage the reception team in relation to rostering, leave management, training and development
  • Undertaking performance reviews of the reception team and fostering an environment of continuous improvement
  • Monthly reporting to the Administration Services Manager regarding key metrics
  • Liaise with Site and Modality Supervisors regarding any required changes to bookings or services
  • Reception duties including but not limited to:
o Ensure prompt and effective response to patient bookings and enquiries
o Determine the extent of service required for the booking
o Notify patients of requirements prior to their visit
o Notify technical staff of patient arrival
o Provide accurate billing to patients prior to departure
o Ensure patient reports are typed and dispatched to the correct location
o Ensure practice and clerical appearance standards are maintained
o Liaise with technical and support staff with regard to booked services
o Perform end of day procedures regarding Medicare and Veterans claims


To succeed in this role, the successful candidate will possess the following skills:

  • A proven background in medical administration and management with a demonstrated working knowledge of medical terminology and administration practices and processes.
  • Demonstrated experience in leading and coordinating successful teams, including performance management, rostering, training and coordinating workflow.
  • High level communication and interpersonal skills including the ability to successfully communicate and develop rapport with a diverse variety of stakeholders.
  • Previous experience working with RIS/PACs systems will be highly regarded however those with experience using other medical systems will be considered
