About us
Technology Solutions (TS) provides Information Technology (IT) services and solutions to the Department of Justice and Community Safety (DJCS). TS supports the DJCS vision of ‘a justice and community safety system that works together to build a safer, fairer and stronger Victoria' through the effective management of technology innovation, value, risk and performance quality. TS is a business unit within the Corporate Governance and Support (CGaS) Division of DJCS and delivers its services to all Divisions across the DJCS portfolio.
Technology Solutions also provides specialist expertise for high-risk and high-value projects, and is responsible for the technical planning, management, and support of projects on behalf of other departmental business units.
About the role
The Program Officer provides a wide range of project support including administrative functions such as coordination of procurement and recruitment documentation for the ICT projects and programs. The Program Officer oversees the project's daily functions to ensure deadlines and compliance requirements are met.

In this role you will:
  • Provide a range of administrative support activities including maintenance and diary management for the Program Control Office Mailbox, development and maintenance of SharePoint / Intranet sites, drafting and preparing reports, development of standard communication, organisation of key Program control documentation, data entry, and records management in the department's record management system.
  • Liaise with key stakeholders across the Program to provide project and operational support, including monitoring and reporting on project plans, milestones, and deliverables, to ensure time, cost and quality indicators are in line with approved project plans.
  • Undertake analysis of project performance data to support development of a range of Program documents, status reports, briefings, presentations that visualise project performance metrics.
  • Provide secretariat services for key Program assurance and governance forums including scheduling meetings, preparation of minutes & agendas and monitoring of assigned actions.
  • Manage and coordinate all on-boarding and off-boarding of project staff (VPS, contractors & vendors) including all access provisions and documentation required leading up to commencement.
About you
Along with exceptional written and verbal communication skills, as our ideal candidate you will have:

  • Demonstrated experience working in dynamic agile environment that is subject to fast pace of change.
  • Knowledge of, and experience in participating in a range of iterative, incremental and agile methodologies (e.g. Scrum, Kanban, ScrumBan, SAFe).
  • Demonstrated experience within an ICT environment, of project management practice and project administration, coordination and support.
  • Proficiency with secretariat services, project management tools and applications used for collaboration, document sharing & control and performance reporting.
