The Exciting Opportunity:

Due to an influx of business, this is a newly created position for a Proposals Coordinator to join their hugely successful Proposals/Tender team which consists of 2 other like-minded professionals based interstate. You will work closely with the Tender and Business Development Manager based in the Perth office.

This role will be responsible for preparing and providing support on proposals and tender submissions. As a highly organised and detailed professional, you will be responsible for managing multiple tender activities simultaneously to ensure the proposal submissions are compliant and cohesive against the contractual requirements of the submission. This is the perfect opportunity for a motivated, results-driven Proposals Coordinator who is passionate about the civil construction and engineering sector.

Day to Day Activities:

  • This is a hands-on position where you will create tender/bid submissions in order to respond to client requests in a timely and accurate manner
  • Management of tender submissions and supporting documentation
  • Coordinate the creation and submission of tenders, proposals, and presentations
  • Develop document templates, layout and content design in accordance with company branding
  • Help support the set-up of new bid processes, content and tools to support sustainable and best practice bidding
  • Ensure Licences, Insurances and ISO Certificates are kept up to date
  • Coordination and production of high quality EOIs, Capability Statements and Tender submissions, compliance letters, licenses and prequalification materials
  • Creation, review and editing of the non-technical components of submissions
  • Work with the Proposals Managers and team to help collate content into the tender documents, including populating standard company information
  • Format all MS Word, Adobe and PowerPoint documents to ensure they align with company brand guidelines and of high quality with 100% accuracy
  • Research, write, compile, edit and format tender content and creation of document templates
  • Adopt a flexible approach to your work by adjusting to multiple demands and/or shifting priorities
  • Manage the response schedule templates, version control and track status
  • Help interpret client requirements, identify and source the best content and knowledge to support the bid
  • Develop high-quality bids/proposals using established templates against brand guidelines
  • Contribute to harvesting bid material for continual improvement of bid processes
  • Liaise with a diverse range of SMEs and teams to support and coordinate input as required working within tight bid timeframes

The Successful Applicant:

  • Have proven experience in a Bid Coordinator role ideally within the construction or engineering industry preparing tender documents for submission
  • At least 3-5 years' experience coordinating bids, proposals & tenders
  • Experience handling a high volume of work - working on multiple tenders at the same time
  • Marketing experience necessary
  • Must be competent using InDesign
  • Extremely strong document control skills
  • Excellent attention to detail with 100% accuracy
  • Exceptional time-management and organisational skills
  • Ability to adapt to and work effectively within a variety of situations, and with various groups and individuals
  • Proven ability to work autonomously with a high degree of motivation, energy, initiative and commitment, with the capacity to deal with multiple and often conflicting priorities
  • Excellent verbal and written communication skills
  • Initiative and enthusiasm with the ability to learn new tasks and systems quickly
  • Able to work as part of a team, liaising with the management, project and estimating teams to ensure timely and professionally finished submissions
  • The ability to thrive under pressure and meet submission deadlines
  • Possess the ability to develop effective relationships with both internal and external stakeholders
