Executive Assistant - Human Resources

An exciting opportunity has arisen for an experienced Executive Assistant to join our Human Resources division reporting to the Global Head of HR & Foundation. This busy and diverse role will require a self-motivated, flexible and proactive approach, coupled with exceptional time management skills and the ability to work autonomously. This is an integral role that will see you grow and develop your skills, interacting across all levels of the corporate hierarchy.

As an experienced Executive Assistant, you will be providing executive administration support whilst working collaboratively across a range of senior leadership teams within the HR division. Your role will include but not limited to:

  • Extensive diary management and meeting logistics
  • Email inbox management and organisational support
  • Administration support for board committee
  • Event coordination and logistics
  • Operational and building services support
  • Expense management and processing, including purchase orders, invoices and Amex
  • Coordinate staff movements including new starters, departures and transfers, including approvals and management
  • Domestic and international travel management including coordination of approvals, preparation of itineraries and logistical arrangements
  • Maintenance of email distribution lists, Workplace groups and SharePoint groups
  • Assist timely submission of reports and process system approvals (Concur, Coupa, DAS, FAS)
  • Creating and formatting documents including papers, letters, presentations, agendas and meeting notes (Word, Excel, PowerPoint, OneNote, SharePoint)

The successful candidate will have a minimum of 8 years’ experience in an Executive Assistant role, preferably having supported executives at the C-suite level. There is a leadership dimension to this role and an ability to drive collaboration and effectively communicate with a range of stakeholders is key. You will be required to proactively anticipate the needs of the executives that you support. You’d enjoy working closely with others, flourish in a fast-paced working environment combined with your strong liaison skills. You are a problem solver who can multi-task with ease and demonstrate an ability to confidently prioritise workloads, navigate conflicting requirements, maintain confidentiality, have high attention to detail and effectively manage and deliver results to deadlines.
