About The Role

The role of the Operations Administrator is to provide administrative support to the Operations Manager – West and Western operations team as required. Key responsibilities include processing of weekly timesheets for drivers, managing payroll queries, compliance checking of driver work diaries, monthly and weekly reporting, and processing invoices for key accounts.

Primary Purpose and Scope:

  • Completing weekly timesheet processing for drivers and workshop in a timely manner, including liaising with payroll, operational control and the wider operations team where required.
  • Invoice processing for the Western Operations Team in Pronto.
  • Completing payroll and administrative paperwork as required for drivers and workshop employees, including position status changes and separation paperwork.
  • Completing relevant compliance checking/ validation of Driver Work Diaries and follow up of Non-Compliance Reports within company policies and procedures.
  • Provide assistance to the Operations Manager – West, as required on adhoc administration tasks
  • Liaising with the People & Culture and Operations Teams to ensure the recruitment of employees is timely
  • Raise purchase orders for goods and services as required
  • Complete daily, weekly, monthly, quarterly and annual tasks as assigned and within scope of responsibility (e.g. daily out of service reports, weekly timesheets, monthly report, annual stocktake etc.)
  • Produce accurate, relevant and timely information and feedback to all customers (internal and external)
  • Actively participate in and support performance management and staff development processes
  • Complete safety check and workplace audits as required
  • At all times behave in accordance with our company values
  • Comply with the company’s safety systems, ensuring reasonable care for the health and safety of all employees, visitors and contractors

Essential Experience

  • Previous experience in an administrative role
  • Intermediate computer skills (Microsoft Office Suite and various company systems)
  • The ability to prioritise, multi-task and follow through on required actions
  • The ability to communicate, a preparedness to take initiative, a strong results orientation whilst demonstrating a professional work ethic
  • High level of attention to detail
