About The Role

Role Location- 833 Collins Street, Docklands VIC 3008

Role Type- Permanent, Full-Time

As an Executive Assistant, you will be responsible for supporting the Head of Financial Crime Transformation, Head of Divisional Productivity and Head of Accelerated Strategy. The role also includes providing support for their respective teams. This opportunity will suit someone looking for a role who thrives on providing very important enabling administrative and operational support. These responsibilities include (but are not limited to)-
  • Diary management - proactive management of diaries (internal and external meetings), including managing meeting conflicts and being able to make prioritisation decisions
  • Ensuring all documents are sent and received prior to key meetings
  • Office and Administrative Tasks - Perform general office duties, including copying, scanning and filing
  • Travel management - inclusive of flights, transfers, visas and accommodation bookings, ensuring cost effectiveness is maintained/monitored at all times.
  • Expense management - reconciliation of all Executives monthly expenses, ensuring the receipt and payment of invoices align to expense policy/ensuring all expenses are coded correctly to each live project.
  • Floor management - on/off boarding, building/data drive accesses
  • Supporting on boarding of new staff from raising initial request through to approvals and system access
  • Organising off sites / events - ensuring all requirements are met i.e., venues and catering booked and dietary requirements observed
  • When required, acting as emergency back-up for other Strategic Delivery EAs, if required for short-term absences - i.e. sick day or two only

About You

  • Strong experience in administration with high attention to detail
  • Ability to manage competing priorities and remain resilient and positive
  • Ability to multitask in a busy work environment
  • Proven ability to build strong, open and collaborative working relationships with not only Financial Crime Transformation, Divisional Productivity and Accelerated Strategy, but also teams across Strategic Delivery as well as the AR&C Portfolios, whilst fostering good relationships with the EA community and stakeholders
  • Good communicator with ability to be clear and concise, and seek clarification where required
  • Demonstrated ability to use initiative, being proactive by taking action and being persistent in addressing issues
  • Maintaining a high level of confidentiality and having the capacity to deal with matters tactfully and discreetly
