The role:

Located at the E-Gate Infrastructure Depot, Footscray Road, Docklands, this full time permanent opportunity exists for an experienced Personal Assistant to provide personal administration, office management and E-Gate site coordination duties on behalf of the General Manager – Infrastructure and the Leadership Team. In addition, this position provides a support service to the Infrastructure department and associated stakeholders.

Main duties:

  • Support the strategy, development and achievement of the NAA Infrastructure leadership team; ensuring adherence to all Statutory, Legislative Standards and all Policies and Procedures
  • Support the achievement of 'business as usual’ key performance indicators
  • Develop strong relationships based on consultation and work-in-partnership with internal and external stakeholders
  • Exercise diplomacy and tact in liaising with all stakeholders; adhering to the communication policy and MTM Values
  • Support the Level 2 Visualisation processes as required – including actions and communications from these forums
  • Act as the first point of contact at E-Gate for all visitors ensuring that they sign in and understand their OH&S responsibilities
  • Manage the diary of the General Manager - Infrastructure ensuring provision of relevant meeting agenda/minute/pre-reading etc
  • Manage email correspondence in a professional and courteous manner ensuring responses are timely and follow-up actions are dealt with
  • Collate monthly reports, ensuring submission timelines are adhered to
  • Place and monitor purchase requisitions and purchase orders, as required by the General Manager - Infrastructure
  • Provide leadership and guidance to administration team(s)
  • Any other duties as specified by management

Qualifications, skills and experience:

  • Business Administration Certificate - Desirable
  • Proficiency with Microsoft applications - Mandatory
  • Substantial experience providing service across multiple business areas in a large organisation - Mandatory
  • Demonstrated advance organisational skills - Mandatory
