Snowy Monaro Regional Council is looking to appoint an Executive Assistant to provide a range of confidential executive, secretarial and administrative services to support the CEO, Mayor and Councillors and coordinate the provision of support services for the Executive Leadership Team.

Integration of activities and resources across the Executive Office is necessary to achieve Council’s Operational Plan. This is a senior position within Council and would be suited to an experienced, highly motivated, proactive and committed individual who can demonstrate the importance of engaging effectively with the senior staff, the community and other stakeholders. This position is offered in a temporary full-time capacity (for an eight (8) month maternity cover), based on 35 hours per week, located in Cooma. Flexibility will be required in working hours due to the specific requirements of the position.

Key Responsibilities:

The Executive Assistant will report into the Chief Executive Officer. Responsibilities will include but not be limited to:

  • Act as the primary point of contact and analyse, assess and prioritise requests and initiate action, to facilitate optimal use of organisation and civic leaders.
  • Prepare, coordinate and review executive level communication including presentations, briefing notes and correspondence to respond to issues and inquiries.
  • Research, collate and coordinate reports, advice and briefings to support informed decision making and planning.
  • Manage diary appointments, arrange meetings, response to invitations and correspondence, coordinate travel arrangements and schedule and support meetings to facilitate the effective management of the office of the CEO, Mayor and Councillors.
  • Monitor, implement and evaluate administrative practices, systems and procedures within the office of the CEO to optimise efficiency and support the delivery of quality outcomes.
  • Supervise, support and guide the executive support services team to deliver executive, secretarial and administrative services for the Executive Leadership Team.
  • Coordinate internal and civic functions and citizenship ceremonies in partnership with key stakeholders.

Essential Requirements:

  • Certificate IV in Business Administration or a related discipline with demonstrated contemporary experience in a similar role; or substantial contemporary experience in a similar role supported by ongoing professional development.
  • Demonstrated record of accomplishment leading, guiding and supporting others to achieve work targets and outcomes efficiently and effectively.
  • Demonstrated research, information analysis and interpretation skills, coupled with the ability to prepare correspondence, briefing notes and reports.
  • Demonstrated ability to edit draft correspondence prepared by others to ensure consistent quality and accuracy of all documents prior to publication.
  • Demonstrated ability to develop and maintain confidential, constructive and productive relationships with key stakeholders that contribute to the achievement of the organisation’s strategic goals.
  • Demonstrated experience providing high level assistance to Senior Executives within a professional environment
