An opportunity is available for a Scientific Education Administrative Assistant to join the Education Office at Australia’s pre-eminent biomedical research institute.

About the position

The Walter and Eliza Hall Institute as the Department of Medical Biology of the University of Melbourne offers a Honours program, MRes and PhD program. WEHI has also developed collaborative relationships with prominent Asian universities that allow student exchanges, including the undergraduate InSPIRE program, and 4th year research projects. The Scientific Education Office coordinates admissions into these programs and implements the course content to ensure the highest educational standards. The office manages academic evaluation and skills development of students, as well as providing arbitration and pastoral support.

There are two important aspects to the Scientific Education Administrative Assistant role:

  • Asia Partnerships: to facilitate communication and collaboration regarding student matters internally and with our Asian partners in collaboration with the Head of WEHI-Asia Strategic Alliance and the WEHI-Asia Program Manager. Part of working with our Asian partners includes organising correspondence, arranging visits and making travel arrangements for staff and students from WEHI and our Asian partners.
  • To assist in student pre-admission and admission processes - applications, onboarding and integration of admissions with the WEHI people management system.

Selection Criteria

Personal qualities

  • Self-motivated individual with proven ability to work independently, and on multiple initiatives concurrently
  • Excellent interpersonal skills
  • Proven aptitude for communicating effectively with a variety of audiences, including international parties.
  • Excellent time management, analytical and problem-solving skills
  • Confidentiality, discretion, sound judgement and attention to detail
  • Consistent demonstration of initiative; able to rapidly adapt and respond to changes in environment and priorities
  • Able to prioritise work and meeting deadlines

Knowledge and skills

  • Applicants with a tertiary degree in science, or a related discipline, or work experience in university administration are encouraged to apply
  • Excellent English oral and written communication skills required
  • Proficiency in an Asian language beneficial
  • Strong administrative skills
  • Experience with people management software beneficial
  • Strong computer literacy, and proficiency using a range of software packages including Microsoft Office.
  • Proficiency in manipulating data in Microsoft Excel for the purpose of providing statistics on student performance and progress

Terms of appointment

This position is available for 2 years in a full time capacity. Salary is HEW 5 ($72,036 – $82,743). Up to 17% superannuation and very attractive salary packaging options are available.
