About the role:

Providing high level of administrative and business support, you will capture organisational intelligence and connect people to drive improvements across LXRP and the wider transport infrastructure sector. 

In this role, you will spend much of your time doing the following:

  • You will be involved in preparing and co-ordinating LXRP's corporate reporting to external government agencies and departments as well as for LXRP's Executive Leadership Team, Senior Managers, and wider staff.
  • Minute/action/decision taking, agenda setting, reporting on follow-up action.
  • Coordinate a range of complex information from multiple line areas.
  • update and review documentation including reports, tracking systems, policies, procedures, plans, and guides and tools. 
  • Liaising with key stakeholders to obtain and analyse information and examining ways to improve current processes and systems.

About you

You might be currently working in a similar role in governance and reporting, or you may be an experienced project support officer / officer administrator with great reporting skills!

Some things about you that we are looking for are:

  • Someone with a high level of administration skills that can assist with preparing reports and meeting minutes.
  • Record Keeping - update and review documentation using tracking systems.
  • Improvements – YES – we want you to tell us how we can do things do better.
  • Excellent attention to detail - there's a lot involved in coordinating and delivering these documents, so your ability to keep track of all the details will ensure success.
  • Proactive nature and ability to deal with ambiguity - we operate in a fast paced, dynamic environment so you need to be able to adapt quickly.
  • Ability to build strong relationships – will be key as there will be multiple stakeholders that you will work and collaborate with daily.
  • Having a strong sense of purpose in helping the project deliver on transforming the way Victorians live, work and travel.

This is a 3-year fixed term contract. Whilst we are based in the Melbourne CBD, we do support flexible and remote working options.
