Job Description

Reporting to the Chief Information Officer (CIO), the role contributes to the achievement of Lotterywest's business goals through the provision of administrative support to the Technology Services team. The role has the following key areas of focus:

  • Administrative support
  • Contract administration
  • Financial processes
  • Monitoring and reporting
  • Recordkeeping and data management
  • Build and maintain relationships

Key responsibilities
  • Providing administrative support to the CIO and Technology Services Senior Managers, including organising and supporting meetings, travel, accommodation, contracts and purchasing and logistics planning
  • Being the primary Technology Services contact for general purchasing, contract, invoicing and other finance processes, enquiries and advice
  • Providing administrative support to Technology Services, including coordinating internal communications, updating presentations and reports, managing records and contracts for the team and tracking and reporting TS initiatives
  • Assisting with the preparation and collation of data for monthly CorpEx and Board dashboard reporting
  • Assisting with the preparation of the Technology Services budget and monitor and respond to enquiries in relation to the budget
  • Providing expert advice in relation to records management across Technology Services
  • Providing outstanding customer service and building strong relationships with all team members within the Technology Services team, with other areas of Lotterywest and with a broad range of external stakeholders to assist with effective and efficient operations
  • Participating in projects as required including but not limited to testing and documentation
  • Maintaining and identifying opportunities for continuous improvement to administrative processes and consulting with others in recommending improvements and implementing changes as required
  • Undertaking other duties as required

Mandatory/Special Role Requirements

Selection Criteria
  1. Demonstrated experience working in an administrative support role requiring a high level of attention to detail
  2. Demonstrated high level organisational skills, time management skills and the capacity to work under pressure
  3. Demonstrated experience working independently and collaboratively across teams undertaking business processes to achieve business outcomes
  4. Demonstrated communication skills with the ability to confidently present messages in a clear, concise and articulate manner
  5. Demonstrated proficiency in Microsoft Office Suite including Outlook, Word, Excel and PowerPoint
