We are currently hiring a Facilities Co-Ordinator that will also be our Office Assistant to join the company and our mission. This is a permanent position but we are looking for someone to assist us on a part time bases of 20 hours per week. The role is to lead facilities management of the Gentrack Australia office, assist with administrative and support duties and a bit of marketing support too.

Gentrack is a 500 person, growing business, listed in the public markets of New Zealand and Australia. The main people centers are in London, Auckland, Melbourne and Pune.


In this role you can expect to :


General facilities management and office support : 


  • Assist the Country Manager and Australian Leadership Team (ALT) with optimising the running and costs' related to the Australian office
  • Procurement purchases: Ordering stationery, office furniture, tea and coffee etc. 
  • Arranging catering for in house meetings, townhalls and events 
  • Liaising with vendors for maintenance (Plumbers, electricians, printers, cleaners etc.) 
  • Reception related duties, inclusive of but not limited to, answering of the phone and welcoming guests at the door 
  • Administration tasks such as filing, scanning, laminating, etc.
  • Travel coordination : booking flights and accommodation, changing approvers and dealing with travel issues 
  • Organising company events and assisting with preparation for onsite trainings and meetings such as conferences, board meetings and training sessions
  • General office equipment maintenance, inclusive but not limited to, daily cleaning process of coffee machine; Dishwasher stacking and unstacking twice daily; daily maintenance of hygiene in the kitchen facilities; regular checks / tidying of meeting rooms throughout the day
  • Monitoring HR and Health and Safety inbox and responding to general queries 

Australian Leadership Team (ALT) support : 


  • Help gather and present data, with the assistance of the GM, relating to sales and customers
  • Manage Action items from ALT meetings, create confluence pages etc.
  • Help coordinate the running of diversity events including; Arranging catering, guest speakers, preparation of the office (putting up posters, decorations etc.) 
  • Coordinate the agenda and speakers for our internal Global events with support from the Australian team leaders
  • Arranging meetings and some diary management for ALT
  • Help with preparation of marketing materials for Gentrack’s marketing team


What you need to be successful :


  • Experienced professional with knowledge of facilities management and customer service best practices 
  • Strong administration skills and previous experience (2 year +) working in administrative, marketing or finance environment
  • The ability to handle competing demands and pressures; and thrive on a busy, high volume workload
  • Good written and verbal communication 
  • A high level of competence with Microsoft Office products (Word, excel, power point, etc)
