JOB DESCRIPTION

In this role, we are looking for an individual to fill the role of Office Coordinator. In this position, you will be asked to:


Reception

  • Welcome guests, and ensure COVID compliance is met
  • Manage meeting room bookings and rooms
  • Full service of meetings, including coffee, tea, water, and catering if needed
  • Manage firmwide inbound enquiries (telephone, mail, emails)
  • Mail collection and sorting, and dealing with couriers


Office Administration

  • First point of contact for day-to-day office “matters”
  • Stocking kitchen with milk, tea, coffee, fruit etc.
  • Be responsible for maintenance of internet, teleconferencing, photocopier, and other office infrastructure (air conditioning and heating)
  • Create and maintain register for access cards
  • Managing and ordering stationery
  • Managing, booking all flights, accommodation, and travel for team members
  • Assistance with data entry into our CRM and DMS as required
  • Manage and maintain IT equipment: cables, keyboards and mouse, printer paper and ink, etc.


Team Assistance/Support

  • Organising onboarding agenda inc. sending meeting invites, prepare Welcome Box, new staff desk allocations, photograph and other IT setup
  • Provide support for events held in the Law Squared office space
