Job Description Summary The Tender Specialist is a key position which supports GE Healthcare with the management and development of tender submissions. This plays a significant role as part of the overall GEHC Commercial team. Job Description

Key Responsibilities Include

Managing response materials and timelines for tenders

  • Ensure they meet both customer specifications and company standards and requirements, in order to optimise win ratios.
  • Assist in identifying tender opportunities by active maintenance and monitoring of tender opportunities and dates within the GE Healthcare CRM system as well as external notification sites such as state government procurement alerts
  • Setup and run kick-off and progress meetings
Review documents to be submitted
  • Set up a tracking “form” for more complex responses
  • Setup documents according to GE Brand (GE fonts and colours (as appropriate)
  • Allocate questions to respondents
  • Pre-fill the non-technical responses and reach out to appropriate functions as appropriate
  • Pre-fill technical responses utilising recent tender submissions as appropriate and in consultation with the Product/Sales Specialist
  • Regularly follow-up the response team on progress of documents for submission so that there is an agreed time for final review for content and format
  • Collate individual responses into the final document/s and reviews responses in terms of spelling, grammar and format plus ensures the response answers the question and addresses the customer’s needs
Process review and refinement
  • Seek ways to improve the tender writing process for example:
  • Review and refinement of the bid/no bid prioritisation model and process
  • Build and maintain a library of common documentation and responses utilised in tenders
Relationships
  • Building strong working relationships with internal & external stakeholders (e.g. commercial sales team)
  • Working with commercial, product and service teams to develop professional customer proposals
Standard Offer Agreement / State Contract maintenance
  • Product & pricing variation management with tender stakeholders and escalation if required
  • Manage government and major non-government customers price variations and discount schedules
  • Accurate reporting review and timely submission
Qualifications

And Experience
  • Extensive experience focused on writing, producing, and compiling proposals specific to customer needs. Preferably within or to public entities
  • Strong time management and organisational skills enabling project management of multiple concurrent projects
  • High quality standards and an eye for detail
  • Enjoys working autonomously, takes initiative to make things happen, identifies what needs to be done and does it
  • A demonstrated ability interacting with a range of stakeholders across all levels of the organisation
  • Advanced skill in Microsoft Office Suite products, especially Excel and Word
Preferred Experience
  • Experience in the healthcare industry
  • Basic understanding of technical/medical equipment and services, preferred knowledge of GE Healthcare portfolio
  • Basic understanding of current public health reforms and how these may impact current procurement decision making
  • Regular use of salesforce.com or equivalent CRM tool
