We have an exciting new opportunity for an Executive Assistant to join our Optus Business team. The Executive Assistant is responsible for providing a high level of support to both the Head of Marketing and Analytics, and the Head of Digital, within the Optus Business Division.

Working closely with both the ‘Heads Of’ and their direct reports the EA will work autonomously and utilise initiative, diplomacy and superior organisational skills to ensure the office runs smoothly and that the both their divisions are provided with necessary administrative support to perform their role.

Your day to day duties will focus on but are not limited to:

  • Extensive diary management and understanding the Head of’s priorities.
  • Provided necessary administrative support and coordination of meetings
  • Setting up meetings and booking facilities
  • Managing local and international travel arrangements
  • Managing the expense process and assisting team members as necessary
  • Raising POs, WOCs etc to process payment and engage supplier services (Including supporting other Corporate Finance teams)
  • Providing support with on boarding new starters in the team including organising desks, laptops, stationary etc.
  • Providing all other general Executive Assistant support including preparing and issuing minutes of meetings, organising catering, lunches and events as required and other general duties required
The successful applicant will have:
  • Experienced EA background from large complex organisations
  • Proven ability to operate at a senior level
  • Experience with domestic and international travel arrangements
  • Superior level of administrative and secretarial support skills
  • Advanced proficiency experience with MS Word, Excel, Powerpoint and Outlook
  • Superior organisational skills, ability to work under pressure, manage competing priorities and working to tight deadlines
  • Proactive thinking, preparation and thoroughness
  • High attention to detail and confidence
  • Proven ability to maintain confidentiality and manage sensitive information
  • Strong interpersonal & communication skills, relationship building skills and ability to push back
  • Common sense, ability to use discretion, judgment and diplomacy
