Central agency recruiting an APS4 Executive Assistants. 6-month temporary contract with opportunity to extend.

Your new company
This role plays an important position within the Australian Government Department, assisting in a wide range of roles to an Assistant Secretary.

Your new role
Your new roles as an APS Executive Assistant will see you providing high level support. You will be brought in on a 6-month initial contract with the view for extension.

This position requires a highly organised and proactive self-starter, who can work under general direction with responsibility in a broader role in the overall administration of the branch. You will also work collaboratively with the SES manager and another EA.

Your primary responsibilities are:
Providing support to the Assistant Secretary, which includes but is not limited to:
- Email and document management and registering incoming and outgoing correspondence to distribute in a timely manner.
- Diary management to ensure all responsibilities are met.
- Telephone calls in person or otherwise for the screening of Assistant Secretary’s inquiries and actioning as appropriate.
- Credit card reconciliation.
- Monitoring and following up on action items when items are due through email.
- Monitor branch telephones and provide backup as required.
- Undertaking preparation and research of correspondence as required and requested.
- Arranging international and acquit domestic travel as required.
- Maintaining the Assistant Secretary’s office and surrounding area at a professional standard.
- Coordinate and work with relevant staff to provide response to corporate documents and annual reports.
- Ensure all hardcopy and electronic documents are filed in accordance with security requirements and approved record management processes.
- Use the PDMS System to assist in processing of Ministerial Correspondence.
- Assist in managing Divisional Coordination Requests, reporting to the other EA.
- Providing support to other areas of the Branch as requested.

What you'll need to succeed
To be successful in this role you need to have had proven experience in a similar role managing the office of an Assistant Secretary or similar. The position would suit a well organised, proactive self-starter who has a track record of working well as a member of a team.

You must be an Australian citizen and possess or be willing to go through the process to obtain and maintain a Baseline Personnel Security Clearance.
