We are recruiting exclusively for a privately held Australian based investment management group who are looking for a proactive Office Manager/Assistant with a great eye for detail. This challenging and rewarding opportunity is currently available for a competent and confident individual to independently manage their office, whilst providing support to the Executive Assistant. The role will require you to have great organisation skills, juggling meeting rooms and staff requirements as they arise. Being the first person to greet guests, you will also need to be comfortable talking to everybody and anybody!

Reporting to the Executive Assistant, you will be at the heart of everything that happens in the business, guaranteeing work is completed to the highest standards, clients are always delighted and maintaining this consistently.

Key responsibilities:
  • Running the office every day to the best possible standard, notice challenges before they arise
  • If problem solving, managing any issues right through ensuring positive outcomes and experiences
  • Provide administrative support to executive staff including diary management, meeting organization and scheduling assistance
  • Co-ordinate event planning, corporate meetings & travel requirements
  • Manage outlook account with incoming invoices, statements, resumes and expressions of interest
  • Assist with the development of Corporate Presentations and Corporate Documents
  • Meet and greet visitors at reception, be the first point of contact for the organisation, manage client meetings
  • Maintain office supplies inventory
Skills and experience you will offer
  • Tertiary qualifications in business or similar
  • Previous experience working in a hospitality environment and corporate firm would be highly regarded
  • Strong attention to detail and accuracy skills, as well as verbal and written communication
  • A collaborative approach and honest in your communication
  • Flexibility, as you are meeting the changing needs of a wide variety of people
  • Ability to stay calm and prioritise in times of tight deadlines and conflicting demands
  • Handling of sensitive information carefully and confidentially
  • An autonomous attitude, able to take control and responsibility of managing the office whilst asking the right questions and seeking direction Executive Assistant as and when required
  • Advanced skills in MS Office
