About the Role

The Service Administrator is charged with providing support to our customer sales and service teams, ensuring requests are handled in an efficient and friendly manner. They must process all customer requested accurately and key performance indicators.

The incumbent is also responsible for providing service levels that meet or exceed customers’ expectations and are in line with established performance indicators.

Key Duties & Responsibilities:
Process incoming customer requests either received directly or via sales and service personnel and co-ordinate and follow up the provision of required services.
Utilise the Contact Manager database recording all contacts and adding or deleting changes as they occur as well as assisting with the general maintenance of the database.
Review all new service contracts for accuracy and completeness in accordance with established procedures, particularly pricing and also to ensure customer requirements are carried out.
Process supplier invoices, matching to purchase orders and present for approval prior to processing.
Initiate purchase orders for Service Department as requested.
Process both field service and workshop job cards in an accurate and timely manner ensuring that details input are clear and understandable to the customer.
Process workshop timesheets daily and file in the Service Department filing system.
Assist the Branch Service Manager where required

Skills and experience:
Certificate III in Business Administration is desirable
Experience working within an industrial service sector, such as the materials handling industry or similar
Previous experience with an ERP system (M3) or similar
Intermediate computer skills - Word, Excel and Outlook
Strong customer service skills and attitude
Great telephone etiquette
