About us

COVID-19 Quarantine Victoria (CQV) is responsible for Victoria's COVID-19 Accommodation response, including:

Mandatory quarantine for returned overseas travellers
Emergency Accommodation for people that cannot safely isolate/quarantine in their accommodation.

The Victorian Chief Health Officer has mandated that all returning overseas travellers arriving in Victoria must go into mandatory quarantine for 14 days from the day of their arrival to help prevent the spread of coronavirus (COVID-19).

In addition, CQV is responsible for the operation of Victoria's Emergency Accommodation program for community members and their close contacts who have tested positive for COVID-19 and where an assessment has concluded that there are no other suitable alternative accommodation options for self-isolation.

Infection control and prevention is the primary objective of the mandatory quarantine and emergency accommodation programs.

About the role

The contract support team is responsible for managing the contractual agreements and contracts that are made between CQV and individual service providers in relation to quarantine accommodations. The team is mainly responsible for liaising with service providers and ensuring that contracts are accurate, upheld, and satisfy the service requirements laid out by the COVID-19 Accommodation program.

Reporting to the Business Support Supervisor, the Invoice Processing Officer is part of the Hotel Selection and Contracts team, supporting service delivery for COVID 19 and is responsible for providing a range of corporate support functions, including managing invoice payments to suppliers.

The Invoice Management Officer is required to work collaboratively with staff across the COVID 19 Accommodation as appropriate to support finance administration, purchasing, finance/contract systems, process and associated reporting requirements. To ensure the safety of our staff and their family and friends, all new staff commencing may be required to undertake COVID-19 testing prior to commencement and will be subject to voluntary testing whilst employed.

You may also be required to conduct overtime as required.

This role also includes:
Ensure all contracts are entered into the Zycus Contract Management system as appropriate and are maintained in a current, accurate and auditable state.
Manage the purchase ordering process, ensuring that the organisations needs are met in an efficient and effective manner in line with departmental guidelines and that invoices can be paid in a compliant and timely manner.
Raise and manage processes for any Accounts Receivable invoicing, liaising with central finance teams as required.
Advise, arrange access, and train appropriate staff on Oracle financials and purchasing processes as required.

About you

As our ideal candidate, you will have:
Demonstrated experience in the application of the Oracle Financial System and Zycus Contract Management System.
Knowledge of government accounting and financial legislation, policies and processes, preferably within a state government environment.
Demonstrated experience in provision of customer centric services.
Tertiary qualifications in Accounting or Business (or similar) desirable.
