Receptionist/Administration Assistant

Potts Duhring Financial Advisors are an established and growing Financial Advice & Wealth Management business with client satisfaction as our priority.

We are seeking a receptionist & administration assistant to become part of our dynamic team.

Located at our Glenelg offices, it will be your responsibility to professionally greet all clients and assist them while maintaining a high level of company confidentiality and professionalism. Also, you will need to take initiative in performing various front desk duties including electronic filing, handling, and re-directing mail as well as calendar and meeting management.

Job Description:
Answering incoming calls, determining the purpose of the call, and forwarding calls appropriately
Greeting clients professionally
Perform basic clerical and administrative duties, such as collecting, sorting, distributing, and preparing correspondence, messages, and courier deliveries as well as filing and photocopying
Coordinate administrative tasks related to client services as directed by the Practice Manager including following up client related matters with various service providers.
Schedule appointments maintaining & updating calendars, reminding respective personnel of their appointment
Assist in the planning and preparation of meetings, client events and staff functions
Maintain an adequate inventory of office supplies and ad-hoc operational duties
Assist in the preparation of client review reports
Front office maintenance
Mail collection and postage
Data entry including client data base maintenance
Outbound calling

To be successful in this role you must have/display:

Excellent written and verbal communication skills
Intermediate MS Office Skills with Word, Excel, and Outlook
