With the business going from strength to strength, and new projects awarded, an exciting opportunity has come up for an experienced to Administration Officer support the leadership team from our Sydney office. In this role, you will be working with one other full-time Administrator using your previous experience to practice general office administration and support our group of directors to deliver comprehensive, professional and seamless administration and project support.

Key Responsibilities:

  • Review incoming e-mails/mail/faxes and mark any urgent material for immediate attention.
  • Provide secretarial duties for general correspondence, minutes, filing (including electronic), memos and other documents/reports.
  • Prepare and process personal expense claims as required.
  • Co-ordinate timesheets for payroll processing.
  • Liaising with employees and management on payroll related queries.
  • Perform additional duties and assignments as directed by the Director
  • Perform the day to day processing of accounts payable transactions. 
  • Prepare payment reconciliations.
  • Ensure invoices are approved for payment with the correct job code and ledger account. 
  • Maintain accurate accounts payable records including transactions, payments and update database. (address, bank details, trading terms etc.)
  • Assist with managing claims processes on projects to ensure timely billing and cash collection of all projects.
  • Maintain an accurate Training Register for blue-collar employees and book in refresher training as required (Ausgrid, Endeavour Energy etc.)
  • Liaise with blue-collar employees to check their availability for periodic weekend work (Rail Possessions / Shutdowns)


  • Minimum 4 years of experience as an Administrative Assistant
  • Previous experience and knowledge of the construction industry preferred. 
  • Enjoys making the teams needs the primary focus on one’s actions – developing and sustaining strong workflow practices
  • Is adaptable and manage multiple tasks and priorities to assist in meeting deadlines
  • Has a drive for problem-solving
  • Is focused on delivering quality outcomes
  • Experience in end-to-end Accounts Payable processing.
  • Experience with Xero
