The largest surface shipbuilding endeavour in the nation's history has commenced in South Australia.
Apply your talent where it counts as a Project Administrator with our Maritime Australia Shipbuilding team based in the Osborne Naval Shipyard.

About the Opportunity
As a Project Administrator, you will be responsible for confidential and effective administrative support to the Head of Australian Industry Capability and the AIC Management Team and co-ordinating other office activities.
In addition to this, you will also be responsible for the following:

  • General administration and clerical duties as assigned by the Head of AIC including diary maintenance, receive and process internal and external mail.
  • Liaise with the AIC team leads.
  • Schedule and coordinate meetings including catering, preparation of agendas, minutes presentations and reports as required.
  • Coordinating responses to monthly reports.
  • Coordinating domestic and international travel arrangements for the Head of AIC and AIC team as appropriate (including record keeping and maintenance in accordance with Travel Policy).
  • Oversee administrative staff to ensure tasks are being completed according to BAE Systems policies and procedures.
  • Reconciling monthly actual figures against budget/forecast for overhead accounts and investigating discrepancies.
  • Arranging the purchase of office equipment as required for effective office operations.
About you

As an ideal applicant for this opportunity, you'll have:
  • Demonstrated experience in the provision of a confidential administrative service for an Executive Manager/Team, including experience in office management including scheduling and supervision of staff.
  • Experience in arranging domestic, interstate and overseas travel, preparing itineraries and accommodation requirements.
  • Experience in coordinating arrangements for meetings, conferences and official functions.
  • Intermediate MS Office skills, especially in Word, Excel and PowerPoint.
  • Ability to prioritise and work effectively under tight deadlines whilst demonstrating effective.
  • Outstanding communication and stakeholder engagement skills.
