Position Summary
This position will support to the Franna Canning Vale branch with sales, service and parts administrative duties.

Position Qualifications

  • Diploma qualification in a Business Discipline or equivalent
  • Proficient in MS Suite including advanced excel skills.
  • Previous Oracle and/or SAP system experience would be well regarded.
  • Previous experience in data analysis and providing relevant solutions.
  • Exposure in an administration parts and/or service environment (possibly automotive or heavy vehicle).
  • Require strong interpersonal and communication skills to build relationships.
  • Well-developed problem solving skills with the ability to establish creative solutions.
  • Strong general office skills.
  • Understanding of purchasing principles.
  • Previous experience (interpreting, writing) Contract terms and conditions.
  • Able to complete assignments in resourceful and effective ways.
  • Ability to concisely articulate in written format.
  • Excellent communication skills, both written and verbal.
  • Able to work autonomously and initiate actions.
  • Personable and welcoming manner with ‘can-do’ attitude.

Office duties
  • Provide assistance to customers, visitors and suppliers who enter the branch main reception;
  • Assist with ‘overflow’ phone support for sales, service and parts;
  • Coordinate and process centralised stationery and supplies orders;
  • Raise purchase orders and receipt invoices;
  • Assist with safety compliance, safety calendar contractor bookings and following up on reports and documenting with HSE team.
Sales duties
  • Completing WA Road registrations – arranging payments and booking inspections;
  • Ensure payment for registration is completed and picking up the plates for new machines;
  • Arrange annual period permits for new machines;
  • Completing Plant registrations;
  • Co ordinating with WA/VIC Service when arranging PDI’s and deliveries of new machines;
  • Co ordinating with service regarding refurbs, which includes costs controls, compliance, delivery dates, communicating Sales Manager/s regarding any approvals;
  • Uploading photos onto constructions sales;
  • Processing familiarization paperwork;
  • Arrange and maintain internal shared drives, such as sales folders, sales orders, paint specs, registration etc;
  • Assisting with data entry;
  • Follow up on new credit applications, invoice instructions and payments;
  • Assisting with the creation of used crane flyers;
  • Can assist when Inside Sales is on leave and/or any overflow work.
Service duties
  • Assist with all safety compliance and reporting directly with HSE including 5s documentation, reporting etc
  • Assist with implementing a training schedule, documenting, booking, and reporting on all service-related training.
  • Assist with completing and sustaining up to date training registers, vehicle registers, licence registers and tooling registers.
  • Carry out audits on quality inspections, service reports, risk assessments to highlight improvement areas.
  • Audit consumables and PPE expenditure to find areas for improvement.
  • Address finance issue on invoices, credits, supplier and contractor queries etc.
  • Perform other duties as assigned.
