Our city-based client is looking for an experienced Personal Assistant to the CEO for their luxury jewellery company. This role involves handling administrative and executive support tasks such as: organising and prioritising diary and travel arrangements; co-ordinating meetings; preparing documents; and handling communications.

This is an exciting opportunity for someone who is looking to actively contribute to the strategic direction of the business. The successful candidate will have a positive can-do attitude who is able to positively and energetically challenging the status quo.

The successful candidate will act as an extension of the CEO to all stakeholders and demonstrate the utmost level of professionalism and confidentiality.

Job Description

You will be responsible for:

  • Support to CEO and management of office
  • Extensive diary management
  • Sets priorities for self and others by assessing importance and/or urgency against broader goals for CEO
  • Control of Director travel domestically and internationally
  • Compilation and reconciliation of trip and expense reports
  • Attendance at meetings, conference calls, taking of minutes and maintaining an action log and follow up
  • Organisation of internal and external meetings
  • Maintaining and updating the Company contacts database
  • Ensuring all staff movements are updated across appropriate platforms
  • Screening of inward and outward mail
  • Filing clerical paperwork, reconciliation, archiving and other documents in an orderly manner
  • Provide support to CEO on personal matters including, overlooking bank accounts, home detail, medical matters, health fund claims and family matters

Successful candidates will have:

  • Proactive attitude
  • 5+ years PA experience within a similar industry
  • Excellent organisational and time management skills
  • Advanced Microsoft Office and Powerpoint skills
  • Work well under pressure, ability to think clearly and act decisively
  • Lateral and creative thinker with capacity to adjust to an ever-changing environment
  • Highly professional and mature
  • Strong written and verbal communication
  • Hands-on quick learner
