About you:

Arup’s Vic/SA Buildings Group is currently seeking a meticulous Senior Submissions / Bid Specialist with strong interpersonal skills to drive the delivery of bids and tender submissions, capability documents, and marketing material. 

To be successful in this role you will have:


  • Professional qualification and 6 or more years of years of relevant industry experience; 
  • A minimum of 3-4 years of bidding specific experience within a professional services firm, preferably within the buildings sector;
  • Strong track record in relationship building and influencing techniques;
  • Experience in the development and production of tenders, expressions of interest, capability statements and presentations;
  • Adobe Creative Suite knowledge in Indesign (Advanced) Photoshop (desirable) Illustrator (Intermediate);
  • Experience in CRM systems and compiling associated reporting for senior leadership;
  • A broad skills base, comfortable with technical language, problem-solving, and influencing leadership;
  • Ability to manage workloads and work flexibly, under pressure and to multiple tight deadlines while managing strong attention to detail;
  • Exceptional editing, writing, and layout skills to be able to author, edit and tailor high quality bid content as required;


About the role

The primary focus of this role is to provide Bid Management and professional input into business development and bidding and work winning activities for Arup’s Vic/SA Buildings Group, based in the Melbourne office. Tenders will range from large multidisciplinary projects to small, technically-specific projects. This role will also lead and coordinate a small team of coordinator(s) and/or specialist(s) in the local bid team, with a focus on quality outputs. Specifically, you will:


  •  Drive a winning work culture in the VIC/SA Buildings business and work with leadership teams and regional and cross-sector peers to develop systems, processes, tools and resources to deliver a successful program of winning work at all levels;
  • Manage and implement best practice bidding and bid management processes to continuously improve success rates within the Group;
  • Oversee, mentor and train local bid team member(s);
  • Interpret client briefs to identify and source the best content and knowledge to support submissions. Use InDesign and Word templates to produce high-quality submissions;
  • Provide coaching and advice to key staff across the VIC/SA business on proposal best practice and act as mentor for staff involved in bids/proposals;
  • Provide design leadership for VIC/SA Buildings bids, acting as a brand ambassador for Arup delivering high quality bids in InDesign and locally significant presentations and collateral;
  • Conduct tender debrief meetings, feeding back key points to the business to facilitate further learning and development;
  • Provide regular CRM reporting on pipeline, win rates and analytics on bid costs across VIC/SA. Draw on market knowledge and intel to support Sector, Group and Businesses effectively forecast and plan. 
  • Collaborate and build relationships with Cross-Sector, and regional Buildings Bid team members.
