THE ROLE

This position will provide a range of support services across the organisation prioritising administrative support for the Office Manager and sales team nationwide. You will work closely with the Office Manager and sales personnel daily to ensure the smooth processing of sales quotations, rental quotations, sales and rental orders coupled with weekly import shipment processing and inventory management. You will liaise with internal and external customers to deliver a timely and efficient experience.


PRIMARY DUTIES & RESPONSIBILITIES

The following items are the key functions of the position and apply to service operations in all states:

  • Supporting the external sales force – processing requests in a timely manner
  • Liaising with clients to arrange delivery of equipment
  • Day to Day support of our client base – answering calls and queries, delivering first class service
  • Entering sales and rental quotes into inventory and sales software system
  • Obtaining quotations from third parties
  • Maintain stock control – ensuring all rental, demo and sales stock is tracked and managed
  • Sourcing and preparing paperwork for product demonstrations
  • Obtaining purchase orders from clients to align with sale and rental quotations
  • Coordination of tools to be dispatched from the warehouse
  • Working with Office Manager to prioritise and schedule daily, weekly workload
  • Creating and reviewing stock and overdue order reports to improve efficiency and order turnaround
  • Processing warranty claims, completing forms and managing to completion
  • Invoicing of sales
  • Providing overall administrative support to the Office Manager


SECONDARY DUTIES & RESPONSIBILITIES

The following items while not be a primary responsibility, but will form part of the broader role:

  • Active involvement in the ongoing compliance ISO 9001:2015
  • Assisting with stock control – participation on cycle counting, year end stock take
  • Contributing to the continual improvement of the sales administration department
  • Some interstate travel may be required from time to time


SKILLS & ATTRIBUTES

ESSENTIAL

  • Experience with MYOB/ SAP or equivalent operating systems
  • Minimum 3 years’ experience in a busy sales administration environment
  • Solid understanding of quoting, invoicing and basic business practise
  • The ability to support sales personnel and communicate effectively across various mediums from email to phone and via scheduling systems
  • Great attention to detail and the ability to work under pressure to tight deadlines
  • Great computer literacy including use of word, excel, outlook, dropbox & cloud-based systems
  • An ability to prioritise jobs and the flexibility to multitask
  • Excellent customer service and interpersonal skills
  • Self-motivated and a CAN DO attitude


DESIRABLE

  • Exposure to a mechanical tooling / workshop environment would be advantageous


KEY RELATIONSHIPS

This position reports directly to the Office Manager and has a primary function of supporting the Sales Team. The success of this position will depend on the ability of the Sales Administrator to develop strong working relationships with the following parties:
