Executive Assistant / Project Support Officer

  • $70,791 - $85,956 (Plus Superannuation)
  • Fixed Term / until November 2022

The position of Executive Assistant / Project Support Officer forms a part of the Forestry and Game Branch within the Office of the Head. Forestry and Game works with commercial forest industries to maximise economic value from production and processing of timber (plantations and native forests on public and private land) in a socially and environmentally sustainable manner, and assist industry to adapt to environmental, social and economic change.

The Executive Assistant/ Project Support Officer provides high level executive and business support to the CEO, Victorian Forestry Plan Delivery and Chief Advisor, Forestry and Game. The position also provides administrative and project support across the Forestry and Game Branch.

Working with limited supervision, this position requires initiative, together with excellent organisational communication, and relationship building skills and the ability maintain confidentiality.

Reporting to the CEO, Victorian Forestry Plan Delivery and Chief Advisor, Forestry and Game, the key accountabilities of the role will include:

  • Provide reliable and high-quality executive and administrative support to the CEO, Victorian Forestry Plan Delivery and Chief Advisor, Forestry and Game.
  • Coordinate appointments and meetings, diary and email management, answering and directing calls and liaising with stakeholders.
  • Assist in the preparation of reports, agendas, and other correspondences as requested; and in processing of briefs across the Branch (including responsibility for administering the electronic briefing system for the Branch) and ensuring the formatting and presentation quality of documents.
  • Maintain office systems, records management, briefing for all incoming/outgoing correspondence, together with raising purchase orders using Oracle, I-expenses and responsible for the use of the purchasing card.
  • Facilitate in the procurement of goods and services, including the engagement of contractors and on hire staff.
