We require a professional and highly skilled Contracts Administrator to support our specialised project services team, who participate in technically and operationally demanding subsea projects for our Clients.

This role is required to provide a wide range of administrative and clerical support duties to the Project Services Team, reporting to the Manager of Project Services. The ideal candidate will be self-motivated, highly organised and possess excellent verbal and written communication skills.

Requirements

Previous experience in a similar role is preferred but not essential - we are looking for a true professional and highly skilled administrator who can bolster the team with the experience and knowledge suitable to enable them to:

  • Take a lead role in the regional supplier/subcontractor approval process, including prequalification of new vendors and maintenance/update of approval status records.
  • Monitor expiry dates of existing subcontracts (from a portfolio of around 200) to ensure that those due for renewal are identified and appropriate steps taken;
  • Generate requisitions, purchase orders and contract call-off orders in the procurement system;
  • Analyse subcontract invoices and action the revision of purchase/service orders as appropriate;
  • Issue contract documentation to suppliers/subcontractors and manage the return and appropriate distribution;
  • Liaise with the project management teams to complete supplier post-completion performance assessments;
  • Prepare department reporting for the Senior Management Team.

You will have intermediate level experience using Microsoft Word and Excel, whilst experience using ERP or other procurement management systems would be an advantage.

Naturally, you will be expected to have excellent communication skills, be self-motivated, highly organised, reliable and team orientated.
