We have an exciting opportunity for an ASIC Administrator to join our Sydney Office. This is a busy, client-focused work environment and we are seeking a talented and organised administrative professional to join the team.


Coordinating ASIC inspections throughout the year, including liaising with partners, and our regulator

Working autonomously and managing highly confidential information. 

Pre – review

  • Email engagement teams notification of engagement selection along with all templates and guidance
  • Generate information to be provided to engagement teams
  • Liaise with ASIC inspectors and DPP support (partner / director / senior managers) in relation to logistics for the review
  • Coordinate room/IT/other logistics
  • Updating training / process materials and engagement team briefing materials, incl. communication to go to the client
  • Liaise with risk management to obtain relevant information requested by ASIC, this includes filtering information received for only relevant information
  • Researching consultations that are relevant for the inspection
  • Liaising with NAQ (2LD) and QP to identify potential issues proactively
  • During review

Additional Responsibilities

  • Assisting reviewers with logistics and connectivity issues
  • Assisting DPP support with historical analysis of inspections e.g. files looked at by inspector, issues raised
  • Monitoring review progress and tracking issues raised and reporting in the engagement status spreadsheet
  • Generally building rapport with the ASIC inspectors and engagement partners
  • Monitor the ASIC inbox for acceptances/declines
  • After review
  • Drafting local office reporting
  • Drafting presentation for reporting results to leadership (ALG, AQC etc)
  • Analysing pervasive issues and assisting with determining function wide issues
  • Drafting results report for the bulletin and ensuring consistent voice with other contributors (QP and RCP)
  • Update monitoring register for comments
  • Email engagement teams remediation and final rating
  • Follow up engagement team remediation and action plans
  • Updating the ASIC surveillance document and following up relevant partners
  • Bulletin Coordinator
  • Bulletin Coordinator for AQ including;
  • Collating articles, updating templates, formatting, reviewing and publishing the bulletin and financial reporting news fortnightly
  • Maintaining the bulletin coordinator manual

Engagement Specific Casual Analysis (ESCA)

  • Coordinating rooms and multiple diaries of partners and DPP
  • Scribing the ESCA interviews and typing out transcripts
  • Participating in brainstorming of causes identified from the interviews
  • Recording causes for future analysis
  • Identifying pervasive causes

PA Network

  • Contribute to monthly PA Network meeting by;
  • Sharing content/tips and tricks
  • Inviting guests
  • Charing & Minute taking
  • Assists in training new Senior Personal assistants with;
  • Helpline
  • Bulletin
  • Booking rooms
  • EMS
  • Serve as Sydney PA support when colleagues are away
