Our client a Federal Government Department that facilitates health and medical research in Australia has a contract position available for a Part time APS4 Parliamentary Support Officer to work in the Digital Communications, Media and Parliamentary Section.
 
This section is a small, dynamic and high-performing team with a high work volume servicing the client’s key stakeholders. Being able to develop and maintain productive working relationships will be key to this role. The position will suit a person with strong analytical, organisational and communication skills, with good attention to detail and a strong desire to achieve high quality outcomes with the ability to adapt to a changing environment.
 
The primary role of this position is to provide workflow support to Parliamentary, Communication and Publication team. To perform this role, you will have the ability to manage administrative and executive support to a high standard. You will be well organised, and have excellent coordination skills and both written and verbal communication skills.
 
Key responsibilities:

  • Experience with the Australian government Parliamentary Document Management Systems (PDMS) or similar document workflow systems
  • Ministerial processes
  • Day-to-day processing of ministerial documents
  • Coding and registering ministerial correspondence
  • Maintain highly effective internal and external working relationships
  • Monitor multiple inboxes and coordinate/assist where applicable
  • Draft simple correspondence
  • Financial processing
  • Assist the team in actioning less complex requests received through the team mailbox, including input requests, coordination tasks and requests for advice
  • Provide effective and responsive Helpdesk support on ministerial and parliamentary systems and processes. 

Demonstrated skills and experience:

  • Administration and coordination experience
  • A high level of organisational and time management skills
  • Demonstrated high level interpersonal and communication skills
  • Confidence to deal clearly, accurately and calmly with a range of stakeholders including Executive and officers at all levels of the department, face-to-face, by email and over the phone
  • Flexibility and self-motivation, particularly the ability to embrace a developing and changing role in a dynamic and cross-skilled team
  • Stringent attention to detail and deadlines, and an ability to turn work around quickly and accurately
  • You will be able to work with general direction to professionalise the approach of the section, demonstrate strong organisational skills and be able to achieve results in a fluid and agile environment.


Qualifications (will be considered but are not essential)

  • Experience with Microsoft products (Outlook, Excel, etc)


This position will be offered as a Part time role (20 hrs/week) notionally for a period of 6-months as an APS4 equivalent hourly rate contract and will be based in Civic, ACT.
