The Royal Australian and New Zealand College of Psychiatrists (RANZCP), the principal organisation representing the medical speciality of psychiatry in Australia and New Zealand, is seeking a Training Tracjectory Coordinator to join our Education & Training department. 

The Training Tracjectoty Coordinator will be responsible to coordinate and provide a range of quality administrative services and support in relation to the RANZCP Fellowship Regulations, in particular supporting trainees, Directors of Training, and the Committee for Training for the targeted learning and training review processes.

This role has a specific focus to:

  •  Management of Database and relevant spreadsheets and provide data analysis as required.
  • Processing a high volume of complex trainee applications, including preparation of training history summaries, with a high degree of accuracy.
  •  Preparation of relevant reports and developing briefs as required for presentation to committees.
  •  Attending relevant committee meetings to present on and discuss training review applications, and providing expert advice on these applications.
  •  Researching trainee history and reconciling disparate trainee file sources.
  •  Monitoring targeted learning and training review administrative processes for accuracy and efficiency, and prepare reports as required.
  •  Providing administration support to various relevant projects and initiatives in Training and Development.
  • Attending to general administration tasks such as filing and correspondence associated with records management, and training and directing other training staff in relation to training reviews and targeted learning.
  •  Contribution to bi-annual audits of training records.
  •  Contribution to the budget development and input in relation to the portfolio.
  • Utilising a strong understanding of RANZCP Fellowship regulations, policies, and procedures, centrally coordinate the processes for targeted learning and training review.
  •  Lead role in provision of advice to trainees, staff, Directors of Training, supervisors, and the Committee for Training regarding trainee progress and trajectory and relevant regulations, policies, and procedures.

The successful candidate will have:

  •  Relevant tertiary qualifications and/or significant experience in an education or health administrative setting. Experience in student administration environment and/or relevant experience in dealing with student grievances and complaints, conducting training performance reviews and audits.
  •  Expert understanding of regulations, policies and procedures, and implications of non-compliance.
  • Capacity to understand RANZCP Fellowship regulations and ensure adherence and implementation of these.
  •  Strong computer skills, including MS Office software packages and particularly MS Excel.
  • Experience and strong interest in analysing complex data at a detailed level and ability to produce report extracts in order to report on exceptions.
  •  Excellent organisational skills including the ability to manage numerous tasks concurrently, establish priorities, and work to tight and competing deadlines.
  •  Ability to develop, implement and review procedures.
  •  Well-developed interpersonal, oral, and written communication skills and the ability to liaise and work with individuals and groups with different perspectives.
  •  Ability to establish and maintain sensitive communications, and handle difficult conversations, with trainees and other stakeholders.
  •  Genuine commitment to providing high quality customer service.
  • Proven ability to work as a member of a team and carry out duties with limited supervision.
  • Understanding of membership organisations and experience working with professional members is desirable.
