Ann St Family Medicine is currently seeking an experienced, enthusiastic, and motivated Practice Manager to work on a permanent part-time basis. The successful person would be required to manage and lead the day-to-day operations of Ann St Family Medicine. The successful applicant would also be required to ensure the successful operation of organisational objectives, policies, and procedures with the aim of meeting required standards in patient care, human resources, and budgetary management.


· Manage relationships with key stakeholders

· Develop and review business plans to meet the objectives of Ann St Family Medicine

· Maximise current market revenue, and develop new market opportunities

· Achieving government grant criteria when required

· Assistance with marketing and public relations

· Doctor on-boarding

· Day to Day management of all employees within the Practice

· Relationship management with General Practitioners

· Overseeing the recruitment, induction, and training of all employees

· Recruitment of GPs and being able to liaise with Department of Health on 19AB exemption applications

· Marketing the clinic and working with the marketing team

· Regularly hold clinical and non-clinical meetings with staff

· Expected to provide support to and act as a senior receptionist when required to oversee appointment scheduling and in general to assist receptionists

· Ongoing employee training and development

· Oversight of reception in relation to Medicare batching, private billing, debtor collection and banking

· Monitoring booking systems and policies

· Patient liaison officer - handling any patient complaints

· Supplier liaison

· Oversees asset register and maintenance of equipment and clinic in general

· Prepare timely and accurate clinic reports

· Work with bookkeeper and help assist with accounts receivable/aged debtor collection

· Responsible for improvement activities and oversee all Quality Improvement projects

· Monitors compliance to RACGP Standards and ensures compliance audits are conducted as required / prepare for accreditation

· Ensure compliance with WH&S regulations by identifying eliminating or reducing employee exposure to any hazards - implement appropriate controls

· Reporting to the owners

· Minimum 3 years' experience


· Ability to deliver on business development objectives to increase revenue and maximise growth

· Proven experience managing nursing and administration staff and building rapport with doctors

· Track record of being able to recruit doctors

· Able to deliver quality care and show compassion toward patients and staff

· Previous management position held within a medical practice with successful track record in leading a team of clinical and non-clinical staff

· Further qualifications in business administration, business management, WH&S or quality improvement would be highly desirable

· Current knowledge of current RACGP Accreditation standards

· Previous experience managing budgets

· Previous senior receptionist and or administrative medical centre experience along with management experience

· Knowledge of Medicare item numbers and legislation

· Understanding of medical terminology

· Exceptional customer service and teamwork skills

· Commitment to ethical behaviour and professional conduct

· Excellent verbal and written communication skills

· Ability to empathise with patients

· Minimum 3 years’ experience in a similar position

· Intermediate to advanced working knowledge of Microsoft office suite

· Experience with Best Practice practice management software

· Must have a passion for working with people and have a personable disposition

· Police and working with children check are required prior to commencing
