Primary objective
To provide a high level of administrative and secretarial support, including management of the daily business of the Chief
Information Officer and general administrative support to business units within the Division.
Key duties and responsibilities
1. Maintain the Chief Information Officer’s calendar and emails, schedule appointments and meetings including
formulation of agendas, take meeting minutes, distribute background papers, coordinate travel and venue ensuring
relevant equipment is available for presentations and online access, as required.
2. Communicate with the Chief Executive’s office, senior management and Section Managers on a regular basis to
ensure that a smooth flow of information is maintained including processing incoming and outgoing correspondence
utilising Territory Records Manager (TRM) to maintain documents and files on behalf of the Chief Information Officer
and division.
3. Coordinate and monitor the flow of corporate correspondence including Ministerial documents to meet deadlines.
4. Monitor and quality check correspondence leaving the Branch and prepare basic correspondence as required.
5. Support the strategic management of the business unit working closely with the Chief Information Officer, senior
management and other administrative support staff to assist in day-to-day operations.
Selection criteria
Essential
1. Demonstrated experience providing administrative support to senior management requiring a high-level of oral and
written communication skills and the ability to work under pressure within a multidisciplinary team.
2. Proven ability to understand CIO’s technical correspondence, maintaining confidentiality, escalations of issues, using
sound judgement, tact and discretion when dealing with people of diverse cultures different levels of technical
expertise.
3. Demonstrated ability to effectively complete a wide range of office support tasks, requiring well-developed
organisational skills, accuracy and attention to detail.
4. Proven ability to exercise initiative, working with limited supervision and support, effectively managing workload,
competing priorities and tight timeframes.
5. Proven ability in the use of office based computing applications, including electronic calendar, word processing,
spreadsheets and database information systems (e.g. records management, financial management and travel
management systems such as TRM, EIMS, ECMS, SharePoint, TRIPS.
6. Demonstrated work ethic and attitude, which emulates DCDD values being professional, accountable, honest,
respectful and innovative.
