The Position

We are recruiting a highly organised yet flexible Executive Assistant to support three geographically diverse Executive Directors.

This role requires the traditional ‘EA’ support including calendar, travel & expense management, for a diverse group of individuals on a 2.5 day per week job share arrangement.

Key Duties

  • Complex and fluid calendar management for three Executive Directors
  • Monitoring email correspondence, fielding inquires and requests, and escalating urgent matters for the Executive Directors attention.
  • Producing correspondence, memo's, presentations and reports both of a general and confidential nature on behalf of the Executive Director
  • Preparing meeting agendas, processing travel & expense claims, ordering equipment
  • Booking domestic & international travel and preparing itineraries
  • Event Management including regular coordination of executive level meetings, as well as larger functions including the annual “Star Awards”, team/sector conferences, “Great Work Days”, end of year functions etc

The Person

  • A ‘forward thinking’ individual with minimum 5 years’ experience within a similar role.
  • Proven ability to manage multiple stakeholder’s conflicting agendas
  • Excellent verbal and written communication skills with the ability to manage correspondence on behalf of the Executive Directors
  • Organisational skills with efficient time management and task prioritisation.
  • As well as being highly confidential, we require someone who utilises discretion, tact and diplomacy with ease regarding sensitive issues.
  • Advanced knowledge of Microsoft Office packages such as Word, Excel, Outlook and PowerPoint.
  • Ability to pinch hit and provide support for other members of the Executive team as required
  • The ability to work Monday, Tuesday full days, and Wednesday a.m. only
