JOB DESCRIPTION

The Australian Institute of Architects is the peak body for the architectural profession in Australia, representing more than 11,500 members across Australia and overseas. The Institute works to improve our built environment by promoting quality, responsible and sustainable design, promoting the architectural profession and being the public voice for architecture.

Role overview:
This is a full-time (Monday - Friday 37.5 hours per week), 12-month traineeship program. This entry-level position provides workplace training with structured learning. The Institute will provide on the job training in administration and assist the successful applicant in achieving a Certificate III in Business Administration.

The Membership Services Trainee is an integral part of the National Membership team responsible for providing administrative support, performing duties associated with the delivery of products and services to current Institute members and assisting to drive membership growth.

Salary:
The salary is paid at the National Training Wage, which is determined by the highest level of schooling completed. The salary package includes annual leave (4 weeks), personal leave (10 days) and superannuation (currently 9.5% in accordance with the Superannuation Guarantee).

Key Selection Criteria:The ideal candidate will have:
Completed Year 12
A willingness to complete a Certificate III in Business Administration
Commitment to complete a 12 month traineeship
Permanent resident or Australian citizen
An interest in working in an administrative role
A readiness to assist a busy team with answering phone queries, updating systems, greeting visitors, updating marketing collateral, and understanding and communicating member benefits
Excellent customer service skills and phone manner
Computer proficiency (Microsoft Word, Excel and Outlook)
Professional personal presentation
Excellent verbal and written communication skills
The ability to take direction and a readiness to learn and develop new skills
Maturity to deal with members of all ages

Previous administration experience

Key Responsibilities:
Developing a deep understanding of the membership offering and being able to confidently promote this to new and existing members
Supporting the National Membership Services Manager and the Membership services team in the delivery of member services and benefits
Work closely with and provide support to the Front of House, Member Services Officer role, by meeting and greeting visitors, appropriately directing incoming phone calls, responding to general queries, processing of contract sales, coordination of incoming and outgoing mail and managing staff amenities during peak times and provide annual leave cover for this role.
Engaging with prospective members and communicating membership benefits
Building relationships with relevant Institute business units
Developing and updating information resources (marketing material, web etc.) to ensure the Institute’s interface with current and prospective members is engaging, professional and relevant
Answering member enquiries and helping members to troubleshoot common technical problems
Developing a thorough working knowledge of the membership database, member portal, online join and renewal processes.
General administration and finances
