The role
We are currently seeking an enthusiastic part-time (4 days per week) Events Manager to join our Clients and Markets team in our Melbourne office on a 6 month contract. Reporting to our Clients & Markets Manager, the primary objective of this role will be to lead local staff and client events spanning across the Melbourne office and its various practice groups. This role will see you working closely with the Partner in Charge (PIC) of our Melbourne office and with the broader Clients and Markets team, including Events Managers in our other offices.

Key responsibilities include:

  • Managing budgets for major client functions and employee events.
  • Working with suppliers, both internal (catering team) and external when executing on major client events, including negotiations around contracts, event offerings/packages, venue due diligence, sourcing and negotiating quotes, managing budgets and organising suitable dates, e.g. Continued Legal Education (CLE) seminars, alumni functions, client networking events, client seminars, art partnership evenings and VIP client dinners, NGV Winter Masterpieces, AO, Caulfield Cup.
  • Working with the internal catering team to execute and deliver major employee events, e.g. Easter Lunch, Melbourne Cup Lunch, Monthly Drinks, Mid-Year Fun Day and the EoY Party.
  • Ability to advise and support internal teams regarding venues, costs and processes for their own functions, e.g. team building, etc.
  • General coordination and collaboration with a broad range of support teams including on-site kitchen and catering / wait staff, AV, Facilities, Reception and Front of House teams.
  • Collating, entering and maintaining event requirements in the event booking software programmes, e.g. EMS, InterAction, BlueJeans Events and ON24.
  • General event admin, e.g. finalising event briefs, run sheets, collating all event materials, preparing event schedules/calendars, managing event timelines, communicating event requirements to the appropriate supporting departments for processing and executing events, and coordinating with the broader C&M team and others to assist with on-site logistics and running of events.
  • Fortnightly reporting on the status of the event landscape in the Melbourne office.
  • Participating in various national business development projects.

Skills and experience
To be successful in this role, you will have:

  • Completed tertiary qualifications in Event Management or Marketing.
  • Minimum four years' experience in corporate events and business development within a professional services environment - corporate events experience is essential.
  • Previous experience with budget management.
  • Robust and effective stakeholder management experience. Strong understanding of client communication protocols and sensitivities.
  • Events booking software and client relationship database experience is essential.
  • Proven ability to use Microsoft applications including Word, Excel, Outlook and PowerPoint.
  • Strong administration, organisational and time management skills.
  • Ability to pivot in person events to online should the need arise with short notice.
  • Flexibility with working hours.

The Clients and Markets (C&M) team is responsible for providing services and advice on client relationship management and marketing, development of tenders and other marketing materials, event management, market and industry research and analysis, media and corporate affairs, legal communications and branding and design.
