Megaport is undertaking a technology enabled project to implement the Workday Human Capital Management Suite. To ensure the project is successful, our People & Culture team requires a coordinator role to support the team in all areas of the employee life cycle and facilitate office processes and activities. This is an opportunity to learn about all parts of a global business in the tech sector. Based in Brisbane, you will be supporting the Global People & Culture (P&C) function, assisting with all employee lifecycle processes in line with our business strategy.

What you’ll be doing

1. Onboarding
Support the broader P&C team to:
  • Manage delivery of global onboarding program including scheduling, calendar management and communications
  • Create onboarding schedules for new starters with a focus on continual improvement
  • Manage employment paperwork and finalise the onboarding process
  • Support continuous improvement of onboarding content and resources

2. Learning & Development
Work with L&D lead to assume responsibility for end-to-end administration of L&D function to:
  • Develop training calendar, schedule training and manage attendee register
  • Respond to L&D queries
  • Evaluate programs and provide related reporting for distribution to stakeholders
  • Optimise L&D confluence (intranet) page to improve usability and impact
  • Design learner communications
  • Provide administration support for L&D initiatives e.g. Mentoring
  • Manage learning policies and expense management

3. System maintenance
  • System updates - coordinate the updating of new starters/leavers and employee changes within P&C related systems and spreadsheets and ensuring consistency in employee data, including:
  • TeamTools
  • PeoplePort
  • PBI Plans
  • Battersea
  • Employee file management - ensuring all paperwork, contracts, correspondence are saved in correct employee files using appropriate file naming conventions.

4. Administration
  • Document formatting, drafting, and distribution of P&C letters, and other related documents
  • Monitoring and reporting on key employment dates (e.g. contract end dates, termination dates, probation end dates, PIP end dates, 5 year anniversary dates, employee start dates, visa dates etc.)
  • Ensure JIRA tickets are raised and actioned
  • Collating data/documents/paperwork as required
  • Coordinating employee engagement initiatives and activities e.g. Think Tanks, Kudos and Legend Awards
  • Responding to basic employee/manager queries regarding P&C policies and procedures (ensuring P&CBPs are cc’d in responses where appropriate)
  • Maintaining team meeting notes and agendas and scheduling team meetings/events
  • Maintaining P&C Confluence page
  • Supporting P&CBPs in Policy updates, including tracking review dates, gathering feedback, maintaining policy register and related documents
  • Coordinate off-boarding process where required
  • Survey administration
  • Support invoice processing for the team
  • Various ad-hoc HR projects as part of the P&C Strategy

5. WHS
  • Maintaining ISOS system and administration of site monitoring tool
  • Maintain employee health information data and records

What we are looking for
  • At least 1-2 years Human Resources and Recruitment experience in a fast paced environment (global experience highly desirable, but not essential)
  • Skilled in managing multiple priorities in a high demand environment;
  • Ability to complete tasks quickly and accurately;
  • Proactive attitude and problem solving abilities
  • Excellent attention to detail is essential
  • High levels of energy and enthusiasm
