The newly created Facilities and Commercial Support Coordinator role will ensure superior standards of commercial capability and customer service in the performance of administrative governance and operational activities, which supports the Facilities and Commercial teams in achieving ongoing operational and commercial excellence.

This is a full-time permanent opportunity.

What will you be doing?

Reporting to the Senior Facilities Operations Officer, the successful candidate will undertake day-to-day administrative duties to meet the needs of the Facilities & Commercial Department, including but not limited to preparing and disseminating monthly reports, correspondence and documents, PowerPoint presentations, meeting minutes, document management, filing and archiving. Main activities will also include:

  • Creating and maintaining process and procedural documents
  • Managing the relevant Commercial and Facilities email inboxes and JIRA ticket systems, including prioritisation and dissemination of emails, and responding to all inquiries received
  • Managing the Facilities and Commercial Yello (intranet) sites
  • Assisting with reception duties, sourcing and contracting activities, and any other Facilities or Commercial support activities as required
  • Developing key internal and external relationships and the delivery of services to the businesses to ensure a high level of customer satisfaction
  • Coordinating risk management assessments adopting a preventative approach to risk mitigation
  • Supporting the operational administration of Group-wide and Facilities contracts managed by Commercial

What are we looking for in you?

We are looking for an enthusiastic individual who will thrive in a culture of continuous improvement. In addition to this you will have the following experience, skills and attributes:

  • Proven and successful experience in a similar role, ideally with a good understanding of Statements of Work (SOW)
  • Ability to forward plan, show initiative and organise work priorities and coordinate administrative tasks within deadlines
  • Strong PowerPoint, Microsoft Word and Excel skills
  • Strong attention to detail, initiative and maturity to handle a range of situations
  • Exceptional business partnering skills and ability to deliver customer-centric solutions
  • You proactively communicate innovative solutions that could help enhance operational excellence
  • Strong analytical, problem solving and time management skills
  • Experience with Oracle, Archibus, and FRC would be highly regarded
  • Ability to work from home as required, with strong internet access
