Daily Tasks:

  • Client and Diary Management

  • Greeting clients upon arrival

  • Notifying practitioner of client’s arrival

  • Answering the phone and assisting with client enquiries

  • Ensuring that Hamish is updated of any diary changes and that he is aware of his weekly schedule

Clinic Operations

  • Confidential handling of client information

  • General administrative work: drafting letters and emails, initiating client recall processes, emailing documents

  • Assist practitioners with client administration tasks

  • Taking messages for practitioners when required.

  • Weighing and dispensing herbal medicine and labelling bottles

  • Assist with ordering of clinic supplies, herbal medicines, acupuncture equipment etc

  • Restocking product shelves, managing expiry dates of stock

  • Changing hand towels, replenishing toilet paper, replenishing soap dispensers

  • Review and Update Practice Procedures Manual

  • General ‘housekeeping’ duties:

  • ensure that treatment rooms are kept tidy throughout the day

  • make tea for clients and practitioners.

  • do the washing up in the kitchen and ensure kitchen is kept tidy.

  • General admin duties as requested by the Clinic Director

  • Assist with completing daily and weekly cleaning checklist

Accounting and Payments

  • Raising client invoices and taking payments

  • Petty cash management

  • End of day cash up and daily reconciliation.

  • Issuing receipts and invoices to patients.
